Job Description

This position will support the Sales Director and the Delivery Director, for our North American Unit West Group, in providing regional operations, sales, and administrative management assistance.

**We are open to considering candidates for this position who would like to work in one of our CDM Smith offices located in the California, Texas, or Denver.**

As a Manager of the West Administrative Team, you would contribute to CDM Smith’s mission by:

Working closely with the Sales Director and the Delivery Director providing regional operations, sales, and administrative management assistance.

Compile and analyze data and prepare monthly sales and operational reports.

Preparing complex and confidential letters, memoranda and reports for professional and managerial staff review and action.

Monitor and control operational expenses in the West Group.

Work with the Delivery Director in approving operational requests such as hardware, software, supplies, etc.

Assist the Delivery Director and the Sales Director in preparing expense reports.

Working closely with the Corporate Manager of Administrative Services to drive continues improvement in the administrative group.

Responsible for all administrative management matters in the West Group including but not limited to:

o Interview, hiring, and training the administrative staff.

o Supervising and mentoring the administrative staff.

o Complete administrative staff annual appraisals and setting goals.

o Resolve administrative issues.

Support corporate and regional efforts such as implementing new policies, processes and procedures.

Act as liaison between Corporate and the West Group Offices.

Arrange, coordinate, and attend sales, delivery and marketing meetings for NAU West as needed. Including preparation of presentations.

Provide Procurement support in the region.

Manage and track Sponsorships.

Provide support to Project Managers and Technical Staff by formatting and producing client reports, as needed.

Working closely with Project Managers to find administrative resources to meet project demands.

Assisting in the review, verification and editing of work produced by other administrative staff and professional-level staff for quality control purposes.

Process and provide follow-up on vendor invoices, research/resolve problems.

Additional administrative duties as required.

Minimum Qualifications

Associates degree.

10 years of related experience with at least 2 of those years in a supervisory or management capacity.

Domestic and/or international travel may be required. The frequency of travel is contingent on specific duties, responsibilities, and the essential functions of the position, which may vary depending on workload and project demands.

Skills and Abilities

Excellent interpersonal skills.

Ability to effectively interact with senior levels, exercise exceptional judgment and work with or manage confidential information.

Possesses excellent communications skills and an ability to interact with all levels of staff, as well as outside clients and vendors.

Excellent computer skills utilizing Microsoft Office Suite with a proficiency in Adobe or Bluebeam.

Good negotiating skills and the ability to exercise sound business judgment and discretion.

Demonstrates an ability to develop and grow staff. Good conflict management skills to include resolution of complex issues and different points of view.

Preferred Qualifications

Bachelors Degree.

Advanced knowledge of Microsoft Office Suite, with skills in Microsoft Word processing and Excel.

Strong understand of project support.

Basic knowledge of PowerPoint, MS Teams, & SharePoint.

Client service mentality with the ability to wear many hats.

The ability to handle multiple tasks while maintaining quality control under tight deadlines.

Previous experience working in the engineering industry.
