Administrative Assistant


Day Shift

The Administrative Assistant shall be responsible for registration of patients coming to Southeast Cancer Center for radiation oncology, infusion services, medical oncology as well as Southeast Imaging. Administrative Assistant will be responsible to enter insurance and demographic information on every patient, ensure patient’s insurance is current/active, communicate any changes in patient’s insurance with the Cancer Center team. Assist Concierge in meeting and greeting patients and directing them to their appointments


  • Responsible for careful and accurate compiling of information on each patient registered for outpatient care at Southeast Health
  • Responsible for patient’s right to privacy and maintaining confidentiality
  • Completes pre-registration and registration for outpatients
  • Responsible for obtaining signed consent (consent for treatment, responsible party, and assignment of insurance benefits)
  • Answers office telephone promptly and courteously
  • Performs office duties with awareness of what needs to be done and how to achieve it.
  • Keeps current on changes in policy and procedures
  • Performs job regularly with little or no direction and supervision
  • Handles business inquiries satisfactory
  • Responsible for making reminder phone calls to patients who have appointments at the Cancer Center and documenting those phone calls
  • Mentors new staff regarding the patient experience
  • Utilize the Cancer Center electronic medical record to:
    • Queue patient to appropriate location
    • Enter demographic and insurance information as needed
    • Take patient’s picture and add it to the patient’s medical record
  • Is proactive in identifying ways to improve patient flow, efficiency and the patient experience
  • Escorts patients to their destination when no Volunteer is present and introduces patient by name to the next staff member who will be interacting with the patient
  • Provides a source of inspiration to the patient and family
  • Greets every patients/family by actively engaging with the patient/family during the registration process:
    • Addresses the patient by name during the registration process
    • Makes eye contact during the registration process
  • Make appropriate referrals during the registration process to other disciplines as patient need is deomonstrated (i.e., Journey Guide, Social Services)
  • Duties require interaction with different patient age groups, i.e. neonate, child, adolescents, adults, and the elderly, and requires recognition that different age groups require specialized attention or care
  • Performs other duties as assigned


  • High school graduate or equivalent
  • Must possess typing skills and familiarity with office machines
  • Familiarity in medical terminology preferred
  • Must possess good figure aptitude and communication skills
  • Experience working in a health care setting is preferred
  • Must be able to read, write and speak English
